About the project

Wizard came out of our own pain. The sales team could not keep up with everyone who wrote to us outside working hours, and we were losing part of the requests purely on reply speed. Instead of hiring more people we built an AI agent that lives next to the manager, in the same chat. That is how Wizard appeared — an ordinary-looking Telegram bot that reads every new request, finds the context it needs in the company knowledge base and hands the manager a ready reply. Wizard has been in real production use for a long while: we lived with it ourselves first, and now we offer the same to clients.

Beetrail built Wizard, an internal Telegram bot that takes every incoming request around the clock and drafts the reply for the manager. The first reply to a lead now takes minutes rather than hours. In parallel Wizard opens a Trello card with everything that matters about the client. It suits businesses losing leads to a slow first reply.

The pain

Requests were arriving faster than the team could answer them. The first reply to a lead could take hours: at night, at weekends and at peak nobody answered straight away. And a lead goes to whoever replied first, so the company loses money.

The fix

We built a Telegram bot with an AI agent and search across our own knowledge base. It takes every incoming request around the clock and has a draft reply ready for the manager within minutes. The manager gets a notification with the lead’s key details and the suggested answer: one button sends it, edits it, or asks the bot to rewrite it. In parallel Wizard opens a Trello card with the full conversation and a short summary.

What the app does

Wizard is the manager’s assistant inside Telegram. It takes on all the preparation: it reads the request, finds the context it needs, drafts the reply and opens a card on the shared board. The manager only decides what to send, what to edit and what to put off.

A new-lead alert

The manager gets alerts about new leads straight into their own chat. Every alert carries what matters: the name, where the request came from, how many touches there have already been, how long it has been since the last conversation, and a link to the Trello card. There is no separate app to open — all the work with leads happens where the manager already is.

A draft reply and control buttons

For every lead Wizard drafts a reply based on what the request is about, the history of the conversation and material from its own knowledge base. Under the draft sit the buttons: send as is, edit in your own words, ask the bot to rewrite it, put it on hold or mark the lead as lost. The manager decides what reaches the client; the bot sends nothing by itself.

An automatic Trello card

The moment a conversation with a lead starts, Wizard opens a card for them on the shared Trello board. Cards move between columns on their own, and the whole team sees the status of every lead in one place — no separate reports or exports.

Each card holds the whole history of the lead: name and contact, the channel the request came from, how promising it looks, the number of touches, the state of the conversation and the full text of the correspondence with dates. Wizard adds a short summary of the dialogue, so the manager does not have to scroll through dozens of messages to pick up the context before the next reply.

Working outside office hours

At night, at weekends and during peak load Wizard takes every new lead instantly, opens a Trello card and sends the manager a short note that a request has arrived. The draft reply is ready by the start of the working day, so the lead is not lost, yet the first message still goes out from the manager during working hours rather than in the middle of the night.
