1. Scope and legal basis
1.1. This Privacy Policy (“Policy”) applies to the processing of personal data in connection with the use of the website https://www.beetrail-group.com (“Site”).
1.2. The processing is carried out in accordance with the Hong Kong Personal Data (Privacy) Ordinance, Cap. 486) (“PDPO”) and the Data Protection Principles (“DPP”).
1.3. Data user: Beetrail International Limited, Company Number: 78515900; Business Registration Certificate No.: 78515900-000-07-25-5 (valid 25/07/2025—24/07/2026).

2. Definitions
2.1. “Personal data” is information about a living individual that makes it possible to directly or indirectly identify him and existing ones in a form in which access/processing can be accessed or processed.
2.2. “Data user” is a person who independently or jointly controls the collection, storage, processing or use of personal data.
2.3. Other terms are used in PDPO meanings.
3. Personal data categories
3.1. Data provided through forms: name, email, phone number, company, project details, attached files.
3.2. Technical and behavioral data: IP address, device/browser/OS details, referrer, page views, timestamps, cookies, or similar technologies.
3.3. Data from service providers: limited service data required for hosting, analytics, email, security, and support.
4. Collection and use purposes
4.1. Processing requests, preparing offers, performing the requested services.
4.2. Operation, maintenance, protection and improvement of the Site and services; measurement and analytics.
4.3. Fulfilling obligations under Hong Kong law and responding to legal requests from competent authorities.
4.4. Direct marketing — only with the separate informed consent of the data subject (see paragraph 9).
5. Transfer to third parties
5.1. Personal data is provided to service providers (hosting, infrastructure, analytics, email delivery, security, support, professional advisors) on the basis of contractual confidentiality and data protection obligations.
5.2. Personal data may be disclosed to Hong Kong's competent authorities by law.
5.3. Personal data is not sold.
6. Cross-border transfer
6.1. When transferring data outside Hong Kong, practicable measures are taken to ensure a level of protection comparable to the requirements of the PDPO, including appropriate contractual guarantees and due diligence among suppliers.
6.2. The applicable PCPD guidelines are taken into account.
7. Cookies and similar technologies
7.1. We use cookies that are strictly necessary for the functioning of the Site.
7.2. Analytical cookies can be used to improve quality and performance; where required, their use is based on the user's consent and can be managed through browser settings and/or the cookie settings center. Disabling individual cookies may impair functionality.
8. Safety (DPP4)
8.1. Reasonable administrative, technical and physical measures are being implemented to protect against unauthorized or accidental access, processing, deletion, loss or use.
8.2. The nature of the data and potential harm are taken into account when choosing protective measures.
9. Direct marketing (PDPO, Part 6A)
9.1. Personal data is used for direct marketing only with the prior informed consent of the data subject.
9.2. You can withdraw your consent at any time free of charge at hello@beetrail-group.com (subject: “Opt-out of marketing”).
10. Shelf life (DPP2)
10.1. Personal data is kept for no longer than is necessary for the purposes of processing or required by law.
10.2. Estimated terms: records of requests — up to 24 months after the last interaction; contractual/account records — up to 7 years. After the expiration date, the data is deleted or anonymized.
11. Data Subjects' Rights (PDPO ss. 18—22)
11.1. The right to access and correct personal data.
11.2. A response to an access request is provided within 40 days from the date of receipt. A reasonable fee may be charged for access; correction is free of charge.
11.3. Requests are sent to hello@beetrail-group.com (subject: “Personal Data Request”) or to the postal address specified in section 1.3.
12. Kids
12.1. The site and services are not intended for persons under 16 years of age, and their data is not knowingly collected.
13. Changes to the Privacy Policy
13.1. The policy may be updated by publishing a new version on the Site.
14. Applicable law and jurisdiction
14.1. The law of the Hong Kong Special Administrative Region applies; disputes are subject to the non-exclusive jurisdiction of Hong Kong courts.
