1. Scope and Legal Framework

1.1. This Privacy Policy (“Policy”) governs the processing of personal data in connection with the website https://www.beetrail-group.com (the “Site”).

1.2. Processing is conducted under Hong Kong’s Personal Data (Privacy) Ordinance (Cap. 486) (“PDPO”) and the Data Protection Principles (“DPPs”).

2. Definitions

2.1. “Personal data” means information relating to a living individual, from which the identity of the individual can be ascertained directly or indirectly, and in a form in which access to or processing is practicable.

2.2. “Data user” means a person who, either alone or jointly, controls the collection, holding, processing, or use of personal data.

2.3. Other terms have the meanings set out in the PDPO.

3. Categories of Personal Data

3.1. Data submitted via forms: name, email, phone, company, project details, attachments.

3.2. Technical/usage data: IP address, device/browser/OS identifiers, referrers, page views, timestamps, cookies or similar technologies.

3.3. Service provider data: limited operational data necessary for hosting, analytics, email delivery, security, and support.

4. Purposes of Use

4.1. Responding to inquiries, preparing proposals, and delivering requested services.

4.2. Operating, maintaining, securing, and improving the Site and services; measurement and analytics.

4.3. Complying with Hong Kong legal obligations and responding to lawful requests by competent authorities.

4.4. Direct marketing only with the data subject’s informed consent (see Section 9).

5. Disclosures

5.1. Personal data may be disclosed to service providers (hosting, infrastructure, analytics, email delivery, security, support, professional advisers) under contractual confidentiality and data‑protection obligations.

5.2. Personal data may be disclosed to Hong Kong authorities where required by law.

5.3. No sale of personal data.

6. Cross‑Border Transfers

6.1. Where data is transferred outside Hong Kong, reasonably practicable steps are taken to ensure protection comparable to PDPO requirements, including appropriate contractual safeguards and supplier due diligence.

6.2. PCPD guidance is taken into account where applicable.

9.1. Personal data is used for direct marketing only with the data subject’s prior informed consent.

9.2. Consent may be withdrawn at any time free of charge: hello@beetrail-group.com (subject: “Opt‑out of marketing”).

10. Retention (DPP2)

10.1. Personal data is retained only as long as necessary for the purposes stated or as required by law.

10.2. Illustrative periods: inquiry records up to 24 months after last interaction; contractual/accounting records up to 7 years. Data is deleted or anonymized thereafter.

11. Data Subject Rights (PDPO ss. 18–22)

11.1. Right to request access to personal data and correction of inaccurate data.

11.2. Access requests are handled within 40 days of receipt. A reasonable fee may be charged for access; corrections are free of charge.

12. Children

12.1. The Site and services are not directed to children under 16; we do not knowingly collect their data.

13. Changes

14. Governing Law and Jurisdiction

14.1. This Policy is governed by the laws of the Hong Kong SAR; disputes are subject to the non‑exclusive jurisdiction of Hong Kong courts.
